Administrative Assistant – Receivables/Cash Receipting/Utility Billing


Job Summary

Under the direction of the Treasurer, this position performs a variety of accounting, administrative and clerical duties to maintain the Accounts Receivable, Cash Receipting and Utility Billing functions, as well as office overload and support for the Finance Department as well as other functions as required.

Primary Duties

•    Prepare accounts receivable invoices, reconcile monthly and issue statements
•    Posting and balancing of General Ledgers and bank statements monthly
•    Prepare garbage and water billing invoices 
•    Respond to billing inquiries both verbal and written
•    Update Records from BC Assessment Authority
•    Bank deposits
•    Reconcile bank statements
•    Assisting the Treasurer with the preparation of financial reports to the Ministry
•    Assisting the Treasurer with the preparation of the annual audit and budget 
•    Maintaining financial record files in accordance with Revenue Canada requirements and the Regional District records retention schedule
•    Posting and balancing of general ledger for Hospital District
•    Other duties as assigned

Secondary Duties

•    Provide backup relief for Administrative Assistant and the payroll function
•    Provide daily overload relief for switchboard and counter, as required
•    Provide backup and relief for other Finance Department positions and office overload for various staff
•    Other related duties as required
•    Due to the sensitivity of the information dealt with in this position, confidentiality must be maintained at all times.

Shift and Hours of Work

Monday to Friday (except statutory holidays) 8:30 am to 4:30 pm (35 hours per week).

Qualifications

•    Secondary school graduation
•    Minimum of three years' related work experience, including accounts receivable and bookkeeping or completion of the first level of a recognized professional accounting program.
•    Computer experience, preferably in a Windows environment using municipal financial software such as Vadim, Word and Excel.

Pay Range

As per the collective agreement = $34.61 per hour.
